Send When is provided by Jack Palmer (sole trader), trading as Send When, and we are the data controller for your information. This policy sets out what we hold, why, and what you can ask us to do about it.

We collect your email address, so we can sign you in and deliver your notes, and any extra delivery address you add, which must be verified with a code before anything goes there. We collect the notes you write, anything you attach, and the delivery time, timezone and channel you chose. We collect a device token for push notifications, and whether your subscription is active.
We do not collect your contacts, your location, or advertising identifiers, and we never see your card details. There are no adverts and no third-party analytics. We do not sell your information or share it for advertising.
We hold it to provide the service you asked for and to keep it secure.
Your notes are stored in our database in London and travel over an encrypted connection. Voice notes and attachments sit in private storage reached only through short-lived links, and one account cannot read another’s. A push notification carries a reference to a note, never its text.
These companies process data on our instructions: Supabase for the database and sign-in, Resend for email, Google and Apple for push notifications, and RevenueCat for subscriptions. Where one operates outside the United Kingdom we rely on standard contractual clauses.
Face ID and any text you scan from a photograph stay on your device. Vault notes are never delivered anywhere.
For as long as your account exists. Delete your account from the Profile screen and your notes, recordings and attachments are deleted when you confirm (promptly; we do not keep a grace period). Anything scheduled is cancelled. Separately, delivered notes may be purged after 365 days as part of routine retention.
We use commercially acceptable means to protect your information, but no method of transmission over the internet or of electronic storage is completely secure, and we cannot guarantee absolute security.
You can ask us for a copy of your data, or to correct it, delete it, or stop using it. Write to privacy@sendwhen.net and we will reply within a month. If you are not satisfied you can complain to the Information Commissioner at ico.org.uk.
Send When is not intended for anyone under 16.
We may update this policy. The date above changes when we do.
